Using the Business Profile Assistant

The Business Profile Assistant is part of your Intelligent Website. It helps you manage and optimize your Google Business Profile so customers can find, trust, and choose your business online.

By keeping your profile updated and responding to reviews consistently, you improve your reputation and make it easier for new customers to discover you.


What the Business Profile Assistant Does

  • Automates review responses with editable, suggested replies.

    • Default setting = approval required

    • You can enable auto-responses if you prefer

  • Keeps your business information, hours, services, and attributes synced automatically with Google.

  • Ensures your Google profile stays fresh and competitive.

How to Set Up the Business Profile Assistant

  1. Log in to your Dashboard

  2. Go to the Business Profile Tab

    • Click on the Business Profile section in your dashboard.

  3. Authorize Your Google Account

    • Click Authorize, select your Google account, and allow access.

    • If you have multiple Google Business Profile accounts, select the correct one.

    • You will be sent back to the dashboard

    • Choose your account and click Continue

  4. Assign Locations

    • Match your business locations with the correct Google Business Profile locations.

  5. Enable Sync Options

    • You’ll see several options for syncing your information.

    • We recommend selecting All Items so your services, business info, and website URL stay synced with Google.


Managing Reviews

  1. Go to the Reviews section.

  2. System-Generated Suggestions

  • The system will prepare suggested responses for each review.

  • You can edit the response, approve and submit, or switch to auto-response.

  1. Configure Response Settings

  • Set up preferences for 1, 2, 3, 4, and 5-star reviews individually.

  • You may configure responses on a per-star basis, allowing for approval responses on low ratings and auto-response on high ratings.

  • We recommend setting up notifications for bad reviews so you can take quick action outside of the review (e.g., calling the client directly).

  1. Response Modes
    There are three ways to handle reviews:

  • Manual – you write and post replies yourself.

  • Approval – system drafts a reply for you, which you approve before posting.

  • Automatic – the system posts replies on its own.

👉 Use Automatic or Approval until you review and feel comfortable with your approach.

  1. Response Style & Templates

  • You can use either templates or AI assistant–generated responses.

  • We recommend using assistant-generated responses since they are more unique and natural.

  • You can provide the AI agent with bulleted prompts to match your brand’s tone, vibe, or even include incentives if appropriate.

  • If you choose Automatic, select when the response should be posted (we recommend a 1-day delay).

  1. Filtering Reviews

  • You can filter reviews by location, status, or search for specific text in the review.

  1. Publishing

  • Submitted replies are sent directly to your Google Business Profile.


Review Response Settings

  • By default, the system generates responses and waits for your approval before posting.

  • You can switch to auto-responses if you’d like replies to post automatically. You may set a timeout on the auto response as well to give you time to review.

  • You may configure your response settings on a per-star basis, allowing for approval responses for low ratings and auto-response on high ratings.


Updating Business Info and Media

  • Media: Upload a logo (1:1 aspect ratio), cover photo (16:9 aspect ratio), or any additional images that represent your business. You can crop and edit images directly in the dashboard.

  • Business Info: Write a clear and descriptive summary of your business. If you have multiple locations, you can choose each one from the dropdown.

  • Primary Links (Place Actions): Add links for bookings, appointments, or other calls-to-action that appear on your Google profile.
